1. Who we are and what this policy covers

Seller Ledger Inc. (“Seller Ledger,” “we,” “us”) provides bookkeeping and accounting software for online sellers.

This policy explains what personal information we collect, how we use it, and who we share it with. It covers:

The Seller Ledger web application
Our customer support channels
Any other service that links to this policy

It does not cover the practices of the marketplaces, banks, or other third-party services you connect to Seller Ledger. Those services have their own privacy policies, and we encourage you to read them.

2. Information we collect

Information you give us

Account information — your name, business name, email address, and password. Passwords are stored only as salted cryptographic hashes; we cannot read them.

Billing information — your subscription plan and billing history. Payment card details are collected and stored by our payment processor, Stripe. Seller Ledger does not receive or store your full card number.

Support communications — the contents of emails, support tickets, and other messages you send us, including any attachments.

Bookkeeping data you enter directly — manual transactions, categories, notes, vendor and customer names, mileage, and similar records.

Information we receive from services you connect

When you connect a marketplace, sales channel, payment processor, or financial institution, we import the data needed to keep your books. Depending on the service, this may include order and transaction records, fees and refunds, payouts, settlement and deposit detail, product and inventory data, shipping costs, sales tax collected, and bank or credit card transaction history.

This data frequently includes information about other people — for example, the names and addresses of your customers where a marketplace makes that available to you. Section 11 explains how we treat it.

Information we collect automatically

Device and connection data — IP address, browser type and version, operating system, device type, and referring URL.

Usage data — pages and features accessed, actions taken in the application, timestamps, and error and diagnostic logs.

Cookies and similar technologies — see Section 7.

3. How we use your information

We use personal information to:

Provide, operate, and maintain the Seller Ledger service
Import, categorize, and reconcile your financial transactions
Generate your reports, financial statements, and tax summaries
Authenticate you and secure your account
Process payments and manage your subscription
Respond to your support requests
Send service and administrative messages, including security alerts, billing notices, and material changes to this policy
Send product updates and marketing messages, which you can unsubscribe from at any time
Monitor performance, debug problems, and improve the product
Detect, investigate, and prevent fraud, abuse, and security incidents
Comply with legal obligations and enforce our Terms of Service

Automated transaction categorization

To save you time, Seller Ledger uses machine learning to suggest categories for your transactions. The model reads transaction descriptions — the merchant or payee text that appears on a bank, card, or marketplace record — and predicts a likely category.

Suggestions are just suggestions. You can accept, change, or override any category, and your corrections improve future suggestions for your account.
Categorization is a convenience feature, not tax or accounting advice. Review your books before filing.

4. Connected accounts: marketplaces and banks

Marketplaces and sales channels

When you connect a marketplace or sales channel, you authorize the connection through that provider’s own login and permission screen. In most cases we receive a revocable access token rather than your username and password — we never see your marketplace password, and you can revoke our access at any time from either Seller Ledger or the provider’s own settings.

Bank and credit card connections

We use Plaid Inc. to connect to banks, credit cards, and PayPal. When you link a financial account, you enter your credentials directly with Plaid — Seller Ledger never sees or stores your banking username or password. Plaid provides us with a token and the transaction data you have authorized us to receive.

Plaid’s handling of your information is governed by its own privacy policy, available at plaid.com/legal. By connecting a financial account you agree to Plaid’s End User Privacy Policy.

Disconnecting

You can disconnect any account at any time from your Seller Ledger settings. Disconnecting stops future data imports. Data already imported remains in your books unless you delete it — see Section 8.

We share personal information only in the circumstances described below.

Service providers

We use a small number of vendors to operate the service. They may process your information only to perform services for us, under contract, and may not use it for their own purposes.

Our bank and credit card connections are provided by Plaid Inc. — see Section 4.

Legal and safety

We may disclose information when we believe in good faith that disclosure is necessary to comply with a law, regulation, subpoena, or other legal process; to enforce our Terms of Service; or to protect the rights, property, or safety of Seller Ledger, our users, or the public.

Business transfers

If Seller Ledger is involved in a merger, acquisition, financing, or sale of assets, your information may be transferred as part of that transaction. We will notify you before your information becomes subject to a materially different privacy policy.

With your direction

We share information with third parties when you ask us to — for example, when you invite your accountant to access your books.

6. What we do not do

We do not sell your personal information.

We do not share your personal information for cross-context behavioral advertising and we do not run advertising or retargeting pixels on our website or in our application.

We do not use your financial or transaction data for advertising purposes.

7. Cookies and analytics

We use cookies and similar technologies to keep you signed in, remember your preferences, keep the service secure, and understand how the product is used.

Essential cookies are required for the service to function — authentication, session management, and security. These cannot be disabled.

Analytics cookies help us understand usage patterns and improve the product. We use third-party website and product analytics services for this purpose.

Most browsers let you block or delete cookies, though doing so may prevent parts of Seller Ledger from working.

8. Security

Protecting your financial data is central to what we do. Our safeguards include:

Encryption in transit (TLS) for all connections to Seller Ledger
Encryption at rest for stored data
Passwords stored only as salted cryptographic hashes
Access controls limiting employee access to production data to those who need it
Token-based authorization for connected accounts, so credentials for those services are not stored by us
Regular dependency and vulnerability monitoring

No method of transmission or storage is completely secure, and we cannot guarantee absolute security.

Breach notification. If we become aware of a security incident affecting your personal information, we will notify you and any applicable regulators without undue delay, as required by law.

9. Your privacy rights

Regardless of where you live, you can:

Access the personal information we hold about you

Correct inaccurate information, directly in your account settings or by contacting us

Export your data in a portable format

Delete your account and associated data

Opt out of marketing email, via the unsubscribe link or by contacting us

To exercise any of these rights, email [email protected]. We will verify your identity before acting on a request, and we will not discriminate against you for exercising your rights.

US state privacy rights

Depending on your state of residence, you may have additional rights, including the right to confirm whether we process your personal information, to obtain a copy of it, to correct or delete it, and to opt out of sale, targeted advertising, and certain profiling. As described in Section 6, we do not sell personal information or use it for targeted advertising.

Some financial account information we process may include data classified as sensitive personal information. We use it solely to provide the bookkeeping service you have asked us to provide, and for no other purpose.

If we deny your request, you may appeal by replying to our response. Some states allow you to submit a complaint to your attorney general if you are unsatisfied with the outcome.

10. Accountants and multi-client access

If you are an accounting professional using Seller Ledger to manage client books, you are responsible for having the authority to provide us with your clients’ information and for complying with your own privacy obligations to them. We process that information on your behalf and under your direction.

If you are a seller who has invited an accountant to your account, that accountant can access the books and data you have shared with them. You can revoke their access at any time from your account settings.

Your data may include personal information about your own customers — for example, names and shipping addresses from marketplace orders. We process that information solely to provide the service to you. We do not use it to market to those individuals, and we do not sell it.

11. Children

Seller Ledger is a business tool intended for use by adults. It is not directed to children, and we do not knowingly collect personal information from anyone under 18. If we learn that we have collected information from a child under 18, we will delete it. If you believe a child has provided us information, contact [email protected].
